Sometimes a visit you recorded on your phone doesn't turn into a note. You might see:

The visit stuck on "Waiting" when viewed on the web

A visit named "Untitled Encounter" with no transcript

The visit seemingly gone from the app after you finished recording
Don't worry — in most cases your recording is still safely stored on your phone. It just hasn't finished uploading. This usually happens when the internet connection dropped during the visit, the app was closed mid-recording, or your phone's battery saver paused the app in the background.
Recover the recording

Open the ScribeMD app on the phone you recorded with.

Find the visit in your visits list — it may appear as "Untitled Encounter".

Open it and tap Resume, then Pause. This restarts the upload of your saved audio.

Stay connected to good Wi-Fi and keep the app open in the foreground for a minute.

Tap Finish visit — your note will now generate normally.
▎ Tip: "Waiting" simply means the visit hasn't been finished yet. Once the upload completes and you finish the visit, the note generates as usual.
Prevent it from happening again
Allow microphone access

Android: Settings → Apps → ScribeMD → Permissions → Microphone → Allow. Android can silently revoke permissions from apps you haven't opened in a while.

iPhone: Settings → ScribeMD → toggle Microphone on.
Stop your phone from pausing the app

Android: Settings → Apps → ScribeMD → Battery → Unrestricted. Battery optimization is the most common cause of interrupted recordings.

iPhone: Settings → General → Background App Refresh → make sure it's enabled for ScribeMD.
Keep the app in the foreground while recording whenever possible, and make sure you're on a stable connection when you finish a visit.
Check that everything works
Record a short 10-second test visit and speak normally. You should see the transcribed text appear on screen while you talk.

❌ The timer runs but no text appears — contact support and include the visit link (or its name and time). We'll investigate from our side right away.
